CoworkCity's Virtual Office Refund & Protection Policy — How You're Protected on Rejection, Closure, or Early Cancellation

CoworkCity offers a 100% refund if business registration is rejected, a 50% refund for a simple change of mind within 1 month, a contract-transfer option (once only) after 1 month, and free branch relocation if CoworkCity is at fault. We've laid out the refund comparison table and procedures by timing and reason, for new contracts on or after March 1, 2026.

CoworkCity's virtual office refund & protection policy at a glance.

CoworkCity addresses cost-loss scenarios that virtual-office users may face with refund and protection policies broken down by timing and reason. Business-registration rejection is refunded 100% regardless of timing, and a simple change of mind within 1 month — counted from whichever comes first, the contract date or the contract start date — is refunded 50%. For simple cancellation after 1 month, instead of a refund, a contract transfer (one time only) option is specified in the terms and the refund-policy notice, and if branch operations are suspended due to fault attributable to CoworkCity, free branch relocation is supported. This article is based on customers who sign contracts on or after March 1, 2026.

What Are the Core Points of CoworkCity's Refund and Protection Policy?

The two things virtual-office users worry about most are when business registration is rejected and when the branch they're using suspends operations. CoworkCity blocks both with official guarantees stated in the terms and the refund-policy notice.

  • Business-registration rejection → 100% refund regardless of timing: immediate refund upon submitting proof of rejection by the competent tax office
  • Add-on service (licensing) rejection → 100% refund: refund if the competent administrative authority rejects the licensing after signing up for a paid add-on
  • Branch operation suspension attributable to CoworkCity → free branch relocation: the remaining term is carried over to another branch free of charge
  • Simple change of mind within 1 month → 50% refund: counted from whichever comes first, the contract date or the contract start date
  • Simple cancellation after 1 month → contract transfer (one time only): no refund, but an option to carry over the remaining term to an assignee

This policy was established from experience operating more than 30,000 cumulative business-registration contracts, and a single HQ channel unifies all processing regardless of whether a branch is directly-run or a partner.

In What Situations Do Refunds or Protections Apply?

The refund policy by timing and reason is summarized in one table below. The reference date is whichever comes first, the contract date or the contract start date.

Category Reason Handling
Within 1 month Business-registration rejection 100% refund
Add-on service (licensing) rejection 100% refund
Change of mind (business registration not pursued) 50% refund
Change of mind (business registration completed) 50% refund
Proof of business non-commencement + within 7 days 100% refund (exception)
Proof of business non-commencement + 7 days–1 month Partial refund less a 10% fee on the remaining balance (exception)
After 1 month Business-registration rejection 100% refund
Add-on service (licensing) rejection 100% refund
Simple cancellation No refund, contract transfer (one time only)
Renewal contract (auto-renewal) Within 7 days of payment, address unused 100% refund
Within 7 days of payment, address used Partial refund (less a 10% fee on the remaining balance)
More than 7 days after payment No refund, contract transfer
Branch operation suspension Attributable to CoworkCity Free branch relocation

Reasons not attributable to you (rejection, CoworkCity's fault) qualify for a 100% or free guarantee, while your own reasons (change of mind/cancellation) are applied differentially by timing, with options to use the remaining term in another form.

What Is the Refund Procedure When Business Registration Is Rejected?

If the competent tax office rejects your business registration, a 100% refund of the contract amount applies regardless of timing. The procedure has 3 steps.

  1. Receive proof of rejection — secure official proof such as the tax-office rejection notice, guidance text, or a screen capture of the civil-petition processing result
  2. Submit to CoworkCity — file the proof via website chat or the customer center
  3. Refund processing — after CoworkCity verifies the proof, the refund is issued to your payment method (up to 5 business days)

Add-on service (licensing) rejection operates under the same structure, and even when business registration is completed but a competent administrative authority rejects the licensing after you sign up for a paid add-on, a 100% refund applies.

CoworkCity provides pre-screening of suitability based on over 30,000 cumulative business-registration records and case data across 22 industries and more than 1,000 industries. Tell us your industry and you can confirm, on a data basis, which branches allow registration — lowering the likelihood of rejection itself.

Is a Simple Change of Mind Within 1 Month Also Refundable?

Yes. If it's within 1 month, counted from whichever comes first, the contract date or the contract start date, a 50% refund is possible for a simple change of mind. This applies the same regardless of whether business registration has been pursued.

There are also two exception rules.

  • Within 7 days + proof of business non-commencement: if you prove the address was unused, a full 100% refund is possible as an exception aimed at reducing dispute risk
  • 7 days–1 month + proof of business non-commencement: if the 50% deduction is too objectionable, a partial refund is applied exceptionally. The refund amount is calculated as [(actual total paid) − (daily list price × days)] × 0.9 (less a 10% fee on the remaining balance)

Note If a 50% deduction for a change of mind feels burdensome, CoworkCity first proposes contract suspension or contract transfer. Contract suspension can pause the contract's effect for up to one year if requested within 1 month of the contract date/start date (however, any remaining fee is not refunded when the suspension period ends).

What Happens If I Cancel After 1 Month?

For a simple cancellation after 1 month, because it falls under a real-estate lease contract under the Civil Act, no refund is possible. However, a contract transfer (one time only) option is specified in the refund-policy notice so you can make use of the remaining term.

Contract transfer — a method of carrying over the remaining term and rights/obligations to a third party (the assignee).

  • Possible only for contracts with paid usage time remaining
  • Transferable only one time (the assignee cannot re-transfer)
  • Transfer fee waived
  • The transferor must submit [contract-termination required documents], such as a certificate of business closure or a registration certificate with the address relocation completed
  • Carried over to the assignee under the same terms (remaining term, service scope, etc.)

Obligation to Release Address Occupancy For contract transfer, branch relocation, and termination alike, you must submit the [contract-termination required documents] (general industries: certificate of business closure or registration certificate with address relocation completed / corporation: corporate register including the cancellation entry / licensed industries: proof of address relocation or closure on the business report certificate) to prove the release of address occupancy before the process is complete.

How Am I Protected If a Branch Closes?

If branch operations are suspended for reasons attributable to CoworkCity, free branch relocation is supported. The remaining contract term carries over to another branch as is, with no additional cost.

The relocation procedure operates as follows.

  • Advance notice from HQ — CoworkCity HQ notifies the user of the operation-suspension schedule in advance
  • Choosing a relocation branch — search and select another branch that fits your conditions (verifiable in advance via the 8 filters)
  • Free relocation processing — the branch-relocation fee (55,000 won) is waived, and the remaining term carries over to the new branch as is
  • New contract issuance — a new contract specifying the changed address is reissued and electronically signed

Because a single HQ channel handles all procedures regardless of whether a branch is directly-run or a partner, you'll never have to negotiate separately with the partner-branch operator.

Is a Renewal Contract (Auto-Renewal) Also Refundable?

The refund rules for a renewal contract (auto-renewal payment) operate separately from the initial contract. A refund request is possible only within 7 days of the renewal payment date, and the handling differs depending on whether the address has been used.

Timing / Situation Handling
Within 7 days, address unused 100% refund
Within 7 days, address used Partial refund (less a 10% fee on the remaining balance after deducting the amount used)
More than 7 days No refund, contract transfer

The partial-refund formula is refund amount = [(actual total paid) − (daily list price × days used)] × 0.9, rounded down below the won unit.

Does It Apply Equally to Both Directly-Run and Partner Branches?

It applies equally. Because CoworkCity operates on a single-HQ-channel processing principle, all refund/protection procedures are handled directly by CoworkCity HQ regardless of whether a branch is directly-run or a partner. You'll never have to request a refund directly from a partner-branch owner or negotiate separately; all intake and processing is unified through a single HQ channel.

How Can I Lower the Likelihood of Rejection in Advance?

CoworkCity provides a pre-screening service based on over 30,000 cumulative business-registration records and case data across 22 industries and more than 1,000 industries. Tell CoworkCity your industry and you can receive data-based guidance on which branches allow registration.

In particular, it's safer to have the following industries pre-screened.

  • Licensed industries (mail-order, insurance agency, travel agency, worker dispatch, etc.)
  • OEM contract-manufacturing-based manufacturing (health-functional food, cosmetics, apparel, food, beverage)
  • Special industries with building-use constraints

Also, by narrowing down to only the branches that fit your conditions using the 8 filters on the office search page (region, billing cycle, business type, overconcentration status, industry, building use, licensing support, price tier), you can preemptively block the rejection risk that arises from unsuitable branches.

Closing — Minimizing Cost Risk with Multilayered Protection by Timing and Reason

The biggest risk when choosing a virtual office is having your money tied up for reasons that aren't your fault — when business registration is rejected, when the branch you're using suspends operations, or when refund terms are vaguely defined.

CoworkCity blocks these risks with multilayered protection by timing and reason. 100% refund on business-registration/licensing rejection, free branch relocation if attributable to CoworkCity, 50% refund within 1 month, and a contract transfer (one time only) option after 1 month are stated in the terms and the refund-policy notice, and applied equally across more than 180 branches nationwide regardless of whether a branch is directly-run or a partner.

The policy in this article is based on customers who sign contracts on or after March 1, 2026, and the applicable policy may differ depending on your own contract date, so we recommend contacting the CoworkCity customer center for accurate handling and guidance tailored to your contract terms.
